- Coach and volunteer data: name, FA registration number, DBS certificate number and expiry, coaching qualifications
- Website usage data: IP address, browser type, pages visited — collected anonymously via analytics tools
- Contact form submissions: name, email address, and message content

- Verifying coaching qualifications and DBS clearance

4. Lawful Basis for Processing
We process personal data on the following lawful bases: Consent (for newsletters and photography); Legitimate Interests (for club administration and communications); Legal Obligation (for safeguarding records required by the FA).
5. Photography and Video
We may take photographs and videos at training sessions, matches, and events. These may be used on our website and social media channels. Explicit written consent is obtained from parents/guardians before any image of a player under 18 is published. You may withdraw consent at any time by contacting us.
6. Data Sharing
We share personal data only where necessary: with the County FA and The FA for registration and safeguarding purposes; with match officials for fixture administration; and with third-party software providers (e.g. analytics, email platforms) subject to data processing agreements. We never sell personal data.
7. Data Retention
Player and member data is retained for the duration of active membership and for 3 years thereafter, unless a longer retention period is required by law or FA regulations. Safeguarding records are retained for longer periods as required by statutory guidance.
